ADMINISTRATIVE ASSISTANT , UNICEF ZAMBIA

The United Nations Children’s Fund (UNICEF) Zambia is looking for suitably qualified candidates to apply for the following vacancy:
Administrative Assistant-Fixed-Term Appointment, GS-5 (General Service Category, Level 5), for 1 year (renewable) to be based in Lusaka.
The incumbent will work under the general supervision of the Administration Officer
Duties
  • Arranges photocopying and reprographics services for the Office and liaises with the Programme Assistants on reproduction work to be done and advises as to whether the works can be done internally or externally
  • Monitors and tracks office supplies and stationery items and recommends re-order levels so as to ensure the smooth-running of the Office
  • Maintains all Communication Equipment
  • Operates, maintains and carries out repairs of office equipment such as photocopiers, printers, computers and communication equipment as well as small repairs to the Office premises.
  • Maintains, updates and transmits the inventory records of PPPE and attractive items for the Office
  • In addition to general administration responsibility, also supervises directly or indirectly, activities concerned with office maintenance, cleaning services and similar services.
  • Performs the role of VISA Administration, allocation of roles, Segregation of duties and mitigation of SoD risks in consultation with the Chief of Operations’ Office
Qualification Requirements
Completion of secondary education. Diploma/Degree in Business Administration or other related disciplines such as Accounting etc an asset. Proficient in the use of computer software packages such as Microsoft word, excel, power point, SAP (Vision) other related software. Minimum of five years general administration work which should have provided a good knowledge of administrative/accounting practices and procedures. Very good English language skills (fluency in writing, reading, comprehension/understanding, speaking) and knowledge of the local language is an asset.
