EXECUTIVE ASSISTANT

Job Title: Executive Assistant
Society for Family Health (SFH) seeks an experienced individual for the position of Executive Assistant (EA) who must have experience in handling a wide range of administrative and Executive support related tasks and be able to work independently with little or no supervision. The individual must be extremely well organised, flexible and enjoy the administrative challenges of supporting a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with high level of professionalism and confidentiality is crucial to this role. Excellent written and verbal communication skills and attention to detail are equally important. This position will report to The Executive Director(ED).
Key Responsibilities:
  • Responsible for effective management of the Office and calendars of the ED and other Directors.
  • Efficient and effective handling of incoming and outgoing correspondence, redirecting mail to appropriate Directors, Managers and Departments for action, as appropriate.
  • Drafting of correspondence, reports and documents of administrative nature as required.
  • Prioritize and manage multiple tasks and follow through on issues in a timely manner.
  • Arrange travel schedules and reservations for the ED, Directors and visiting dignitaries, both international and local.
  • Making accommodation arrangements for visiting expatriates as needed.
  • Establish, maintain and manage the accessible filing system.
  • Receives visitors and scheduling SFH site visits and other program meetings for them.
Qualifications and Experience
  • Degree in Business Administration or related field is desirable.
  • Secretarial Diploma from a recognized Institution.
  • At least 5 years experience working in an Executive Office.
  • Strong knowledge of MS Office, including word, Excel, PowerPoint and Outlook.
  • Work experience in a Non-Governmental Organization setting is an added advantage
  • Must have ability to operate independently, collaboratively, with a strong dynamic working style.
  • Must be able to maintain the highest level of professionalism.
  • Must be able to communicate articulately, clearly and concisely (verbal and written).
