ADMIN MANAGER , AB Bank Zambia


General Administration includes:
  • Direct or coordinate the supportive services department
  • Set goals and deadlines for the department.
  • Prepare and review operational reports and schedules to ensure accuracy and efficiency.
  • Analyze internal processes and recommend and implement procedural or policy changes to improve operations, such as supply changes, logistics, procurement, branch development or the disposal of records.
  • Determining the need for material resources in cooperation with each head of Bank’s departments and Bank’s branches.
  • Represent the bank in negotiating contracts and formulating policies with suppliers/contractors. Resolve vendor or contractor grievances, and claims against suppliers/contractors.
  • Plan, administer and control budgets for contracts, equipment and supplies.
  • Locate vendors of materials, equipment or supplies, and interview them to determine product availability and terms of sales.
  • Comply with Central Bank and other statutory audit requirements.
  • Ensure internal control procedures are in place and follow ABL and Central Bank procedures.
  • Anticipating, identifying and promptly addressing tasks and issues that arise in the admin department that are not specified in this job description.
The Administration Manager is responsible for all procurement and logistical functions.
This includes:
  • Prepare all logistics and procurement procedures and ensure documents for jobs, goods, consultant services, including notices, bidding documents, evaluation and contract agreement in line with Central Bank guidelines and Government procedures.
  • Taking care of, and responsible for all logistics and procurement activities (e.g. provide office equipment, inspection of delivery, including procurement procedures) which refer to the ABL procurement policy.
  • Identifying delays to the procurement and logistics process, and proactively seeking improvements to its functions, and implementing agreed improvements.
  • Review purchase order claims and contracts for conformance to company policy.
  • Analyze market and delivery systems to assess present and future material availability.
  • Develop and implement purchasing and contract management instructions, policies, and procedures.
  • Participate in the development of specifications for equipment, products or substitute materials.
  • Store and ensure safety of all logistics and procurement documents. Acquire, distribute and store supplies.
  • Budget controller for all logistics and procurement activities.
  • Educate, train, inform and monitor on all logistics and procurement systems.
The Administration Manager is responsible for:
  • Saving, checking and monitoring information assets, inventory and all documents related to logistics and procurement data.
  • Monitor the facility to ensure that it remains safe, secure, and well-maintained, and update security procedures.
  • Ensure proper vehicle fleet management, update and implement transport policy.
  • Finding viable premises for new branches.
  • Oversee construction and renovation projects to improve efficiency and to ensure that facilities meet environmental, health, and security standards, and comply with government regulations.
  • Oversee the maintenance and repair of machinery, furniture, equipment, fixtures and electrical and mechanical systems.
The Administration Manager is responsible for Admin Staff Management and Development:
  • Supervision of all administration employees.
  • Develop training activities to ensure effective operation performance and efficiency in the admin department.
  • Provide coaching and counseling to the staff on performance enhancement/development.
  • Design and implement a transparent recruitment and evaluation plan for admin staff.
  • Hire and terminate clerical and administrative personnel.
To be considered for this role, you must have a minimum of 4 years experience in similar role gained from working in hospitality or hotel industry. You must be highly orgainised, and posess business acumen. Must be able to plan and budget. You must have a degree or advanced diploma in relevant field.

Programme Coordinator Health – Luapula Mansa (1)
Position Description
Reporting to the Programme Manager Health at the Country Office, with a dotted line relationship to the Programme Unit Manager, s/he supports the effective and efficient management of Plan’s Health portfolio in the Programme Unit to ensure a high level of interaction between Plan, communities, and other stakeholders in health issues in line with Plan’s Child Centered Community Development Approach.
Key areas of responsibility include:
  • Coordinating all health operations including Water ,Sanitation, and Hygiene (WATSAN) project activities  in the Programme  Unit
  • Community capacity building
  • Monitoring and evaluation of Primary Health Care, as well as Water, Sanitation and Hygiene programmes
  • Meeting contractual requirements from different donors
  • Grants management reporting
  • Establishing partnerships with NGO’S, government entities, and all other  stakeholders to increase local resource mobilisation and long term sustainability
  • Ensuring community involvement in the initiation, development, management, monitoring and evaluation of Plan Health Programmes
  • Coordinating and promoting the maintenance of water and basic sanitation in all the Plan Communities
  • Establishing and implementing standards of accountability, effectiveness and efficiency for Primary Health Care (PHC), Water and Sanitation Programmes in the Program Unit.
  • Establishing partnerships with NGO’s and Government entities to increase local resource mobilization and long term sustainability
  • Capacity building of partners and volunteers to empower them with skills and know how.
Individual Specifications:
  • Degree in Health Sciences or equivalent
  • 2- 4 years experience in the NGO sector; working with children and communities; managing child-related health programmes and projects would be an advantage
  • Experience in  writing project proposals and grants reporting
  • Excellent knowledge of Microsoft packages
  • Good communication skills
  • Time management, administrative, and organisational skills
  • Enthusiastic self-starter

Community Development Facilitator- Eastern Programme Unit – 1 Position (3 Year contract)
Position Description
The position of Community Development Facilitator (CDF) is responsible for all sponsorship and development activities at community level and is a link between Plan International Zambia and the community in areas where Plan has a presence. The CDF interacts constantly with the Programme Coordinators and Sponsorship Unit Staff in mobilising communities to participate in development activities using the Child Centered Community Development approach and in the collection of sponsorship information respectively.
The CDF reports to the Community Development Coordinator in the Programme Unit.
Key areas of responsibility include:
  • Participating fully in monitoring sponsorship activities at community level
  • Mobilising communities to participate in development programmess
  • Promoting community development through capacity building and efficient supervision of community projects
  • Ensuring all Plan assets at community level are properly used and maintained
  • Ensuring effective record keeping of all relevant documents/reports
  • Living in the community as part of Plan International’s Global Immersion Strategy
  • Facilitating  project design, planning, implementation, monitoring and evaluation in the assigned area of operation
  • Facilitating  effective participation of children, families, communities and stakeholders  in programme activities
  • Facilitating the integration of programme and sponsorship activities in the community
  • Participating in  community entry processes, feasibility studies, risk analyses, baseline surveys,       phase- in and phase- out strategies
  • Introducing  child sponsorship to communities while working  together with the Community Associations (CAs) and volunteers
  • Working  with community  groups to support, monitor and evaluate on going activities in the field
  • Participating  in stakeholder meetings and networks at ward and village levels
  • Supporting community based structures (CAs) in 100% quality checking of all sponsorship communications before submission to PU office.
  • Facilitating the submission of communications from field office to PU office by volunteers.
  • Facilitating all sponsorship communications and ensures 100% communications are submitted monthly.
  • Identifying key child protection and other risks within the area of operation and put in appropriate control measures to mitigate them.
  • Identifying the potential of community groups to deliver specific programmes that promote the fulfillment of child rights
Candidates will need to demonstrate:
  • Possession of a Diploma in Social Work/ Development Studies or other relevant discipline.
  • 2-3 years practical experience in a similar position in an NGO environment.
  • Excellent interpersonal, report writing, and facilitating skills.
  • Have experience in use of participatory methodologies and working with communities and other stakeholders.
  • Willing to live in the community
  • Ability to organise own work and work independently
  • Possess a class 3 valid motor cycle riding license.
  • Skills in building good relationships with various community groups
  • Ability to work in a multi-disciplinary and multi-cultural environment, with knowledge of language, cultural beliefs and values of the community one is operating in
  • Good facilitation skills  ( community meetings, workshops & seminars)
  • Proficiency  in computer skills

Position Description
The position of Front Office Assistant is responsible for handling of all incoming and outgoing correspondence, receiving and screening of all visitors before directing them to relevant departments and staff.  He /She will carry out other administrative tasks and constantly interact with staff at the Programme Unit and the Country Office.
The position reports to the Finance and Administration Coordinator
Key responsibilities include;
  • Receiving, screening  & directing calls & visitors to departments/staff
  • Managing courier service requests and follow – ups
  • Management of for both incoming and outgoing mails
  • Records management
  • Managing petty cash
  • Facilitation of photocopying of documents
  • Managing boardroom meetings schedule
  • Arranging maintenance of photocopier, fax, and other front desk equipment.
  • Ensuring that the reception area and boardroom are kept clean at all times
  • Ensuring  that telephone usage at the front desk  is controlled
Individual Specifications include:
  • Possession of a  higher Diploma in Secretarial Studies/Office Management or other relevant qualification
  • 2 – 3 years experience in  similar position in an NGO
  • Strong interpersonal communication skills and ability to express herself/himself clearly to visitors and phone callers
  • Innovative and ability to work independently
  • Must have good record keeping skills
  • Excellent computer skills
  • Ability to work in a multi-disciplinary and multi-cultural environment
  • Fluent in written & oral English. Knowledge of local language in the PU will be an added advantage
