Job Title: Administrative Assistant
The United Nations Children’s Fund (UNICEF) invites applications from qualified Zambians to apply for the following position:
Administrative Assistant-Fixed-Term Appointment, GS-6 (General Service Category, Level 6), for 1 year (renewable) to be based in Lusaka. The incumbent will work under the general supervision of the Administrative Officer.
Responsible for vehicle despatching and ensures office vehicles are regularly serviced and properly maintained and keep detailed reports on each vehicle for repairs and maintenance. Supervises drivers and process their overtime and arrange procurement of drivers’ uniforms. Processes drivers’ TA in VISION
Prepare, on own initiative, correspondence, as required, on general administrative or specialized tasks which may be of confidential nature within the assigned area of responsibility
Supervising directly or indirectly, activities concerned with office maintenance, cleaning services and other similar services
Make travel arrangements for both international and local travel and process travel claims according to UNICEF Travel guidance and policy. Process Operations Staff TAs in VISION and monitoring of open TAs for certification and closure in VISION.
Process supply related payments against Purchase Orders and scanning documents in VISION. Process Fund Commitments and Administrative payments for Operations Sections
Advises and assists other staff members in the areas of office management. Attend to the day to day administrative matters
Perform any other related duties as required and as assigned from time to time.
Requirements: Completion of Secondary School. Degree in Business Administration, experience in Administrative Management in a large Development Organization/Embassies or Private Sector, is an asset. At least 5 years’ experience of progressively responsible administrative work at assistant level with a good knowledge of administrative service management’s policies and procedures. Fluency in English language is required.
